We may collect the following categories of information:

• Contact and business details: name, email address, phone number, company name, role, and message content you submit via forms, email, phone, or scheduling tools.
• Engagement information: project requirements, technical preferences, and other details you share during discovery or delivery.
• Usage and device data: IP address, browser type, device identifiers, pages visited, referring URLs, and approximate location derived from IP, collected through standard web logs and analytics where enabled.
• Communications: records of emails, calls, and meeting notes related to our business relationship.
• Data in systems we build or operate: call audio, transcripts, WhatsApp messages, documents, and records belonging to our clients and their customers, processed as described in sections 5 to 7.

We do not intentionally collect sensitive personal data through this website unless you choose to provide it.

We use personal information to:

• Respond to inquiries and schedule consultations
• Provide, operate, and improve our engineering services
• Send service-related communications and, where permitted, relevant business updates
• Analyze site performance and improve content and security
• Comply with legal obligations and enforce our agreements

Depending on applicable law (including India's Digital Personal Data Protection Act, 2023, and other jurisdictions where you or we operate), we process personal data based on consent, contract performance, legitimate interests (such as securing our systems and responding to business inquiries), and legal obligations.

We may share information with:

• Service providers who support hosting, analytics, email, scheduling, or communications, under confidentiality obligations
• Professional advisors such as legal or accounting counsel when required
• Authorities when required by law or to protect rights, safety, or security

We do not sell your personal information.

The providers we use to host and run our systems, including Google Cloud, Twilio, ElevenLabs, Meta, and Cal.com, are listed on our security page.

Voice systems we build or operate, including Harnad Voice, may answer calls on behalf of our clients and record and transcribe them. In that case our client decides why and how call data is used, and we process it on the client's instructions.

• Callers are told at the start of the call that it may be recorded or handled by an AI agent, using consent wording agreed with the client
• Recordings and transcripts are kept only for the retention period agreed with the client, then deleted
• Callers can ask the business they called, or us, to delete their recording; we act on verified requests

Harnad Connect and the WhatsApp systems we build process the content of messages between our clients and their customers. For that data we act as a processor on behalf of the client, who is responsible for having a lawful basis to message their customers. Meta operates the WhatsApp Business Platform as an independent provider under its own terms and privacy policy. We offer clients a data processing agreement on request.

Our systems use AI models from providers such as Google (Vertex AI) and, where a client chooses, other model providers using the client's own account (BYOK). We do not use client data, or our clients' customers' data, to train models of our own, and we use providers' business and API services configured so that inputs are not used to train their models where that option is offered. AI processing may take place outside India; see section 8.

Harnad serves clients worldwide. Information may be processed in India and other countries where we or our providers operate. When we transfer personal data across borders, we take appropriate contractual and organizational measures consistent with applicable law.

We retain personal information only as long as needed for the purposes described above, including to maintain business records, resolve disputes, and meet legal, tax, or regulatory requirements. Retention periods vary by record type and engagement length. Data we process for clients is kept for the period agreed with that client and then deleted or returned.

We apply reasonable technical and organizational safeguards to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Subject to applicable law, you may have rights to access, correct, update, delete, or restrict processing of your personal data, withdraw consent where processing is based on consent, nominate another person to exercise your rights, and raise a complaint with a relevant supervisory authority, including the Data Protection Board of India.

You can withdraw consent at any time by emailing us or, for messages, by replying STOP or opting out in the channel you were contacted on. Withdrawing consent does not affect processing that took place before you withdrew it. If your data is held by a business that uses one of our systems, you can also contact that business directly.

This website does not use advertising cookies or tracking pixels. It uses only what is needed for the site to work. When you open the booking window, our scheduling provider Cal.com loads and may set its own cookies, under its own policy. If we add analytics, we will list the tools here and ask for your consent where the law requires it. You can control cookies through your browser settings.

Harnad Voice (voice.harnad.com) and Harnad Connect (connect.harnad.com) process data on behalf of the businesses that use them, as described in sections 5 to 7. Where a product site publishes its own privacy policy or terms, those apply to the product in addition to this policy.

Our site may link to third-party websites or tools (for example LinkedIn or scheduling platforms). Their privacy practices are governed by their own policies, not this one.

Our website and services are directed to businesses and professionals. We do not knowingly collect personal information from children under 18. If you believe we have done so, contact us and we will take appropriate steps.

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the latest revision, and previous versions are available on request. Continued use of the site after changes constitutes notice of the updated policy where permitted by law.
